Flight Schedule

As soon as you have finalized your travel schedule, please inform the AYF team immediately. If some reason you are unable to depart as scheduled, please contact us as soon as possible.

Remember to plan your arrival and departure as follows:

<> Arrive in Tokyo on October 28 (Tuesday)
     * try to arrive in the morning or afternoon to
       be in time for the evening welcome party

<> Depart for home on November 5 (Wednesday)
     * departure anytime during the day

<> let us know your arrival and departure
     information (dates, times, airline, flight
     numbers...) as soon as these are decided

<> also let us know if you plan to arrive earlier or
     stay later than these dates. In principle, you
     will have to cover any costs for your pre- or
     post AYF stay in Japan by yourself


Visa and Arrival Matters

Please secure your visa ahead of time to avoid problems. If you have troubles with your requirements, do no hesitate to contact the team so we can help you in anyway we can. It is best to apply for your visa weeks ahead to avoid delays which might be caused by insufficient requirements.

Before departing from your home country, be sure that you have the necessary documentation with you. Be sure to have a copy of the address (also map if possible) of the venue, contact information of Prof. Cates, and a copy of the conference program.

Please bring a photocopy of the official invitation letter from AYF. This will be helpful if in case the immigration officer will ask you. Should you need to do transit, please make sure that you will have the appropriate visas with you. Please take note that any visa problems that you might encounter will not be AYF’s responsibility.


Money

Please bring sufficient money to cover your stay in Tokyo. Tokyo is the most expensive city in Japan. For safety purposes, please bring extra money just in case you might need it.


Baggage

Generally, airline companies have restrictions on check-in and hand-carry baggage. The maximum allowable check-in baggage is 20 kilos while the hand-carry baggage is 7 kilos. If you exceeded the allowable weight, you will have to pay for the excess. Please bring only the things that you think are necessary and useful. Do not hand-carry liquid-form items such as shampoos, perfumes, and the like.


Customs Regulations

Your baggage will be checked upon arrival at the Narita Airport. In Japan, possession of any of the following items is prohibited by law:

1.      Drugs
2.      Firearms
3.      Pornographic materials
4.      Forged currency
5.      Articles that infringe upon intellectual property rights.

Immigration Inspection

 Your passport and visa will be checked upon your entry to the airport. You will be asked some questions regarding your purpose of visit. There will also be finger printing and photograph taking as part of the entry procedures. 

 Baggage Claim

 After your immigration procedures, please proceed to the baggage carousel and pick up your belongings. As soon as you’ve identified your baggage, please proceed to the customs for clearance and immediately after you may proceed to the exit doors.


Other Preparations

Aside from learning basic Japanese, make sure to learn special terms you may need to use upon your arrival at the airport especially directions and whereabouts.
