AYF 6 IMPORTANT REMINDERS BEFORE YOU FLY TO JAPAN

Dear AYF Participants,

Hi!

We are 10 days away from AYF 6! We are all excited to see you in Tokyo and I know you are also excited to meet new friends and old ones.

Before you set out to Japan please allow me to give you some reminders.

What to bring

National or ethnic costumes to wear during the AYF cultural parade
Business or corporate attire to wear on November 2 during the PAC presentation
Souvenir gifts from your country to give to your new friends
Name cards (with your contact numbers and address)
Warm clothes
Personal items (like toiletries, medicines, etc.)
Your country flag (not a flaglette)
Photos from your country, your friends and family which you want to share
Other interesting things to share to the participants of AYF
Cultural items like musical instruments (to play, show and explain), music CDs (both pop music & traditional music)
Brochures or information on youth groups you belong to
Maps, brochures and information on your country
An English newspaper from your country

Your arrival to Japan and Getting around

<> Before you leave for Japan, please do not forget to print a copy of the powerpoint presentation that the Japan team has created and uploaded in our website

<> It is good to have a copy of the presentation so you know how to get from the Narita Airport to the NYC

<> Please get a copy of the map of Tokyo upon your arrival at the airport so it is easier fro you to get to your destination (the NYC) in case you get lost

<> Taeko Nomura (our Japan country representative) has given her mobile phone in the email message she previously sent. Please make sure you copy her number so you can reach her in case of emergency.

<> Please have a small notebook with you to take note of important reminders and details

<> It is also helpful to know some Japanese words

<> Log on to the internet and research on the layout of the Narita airport (also in the powerpoint) so it is easier for you to go around the terminals upon your arrival

<> Research on and study the train system of Tokyo so you have a basic orientation of their transit system

 
Country Group Coordination

<> For countries with more than two participants, we have assigned a team leader or two. These student team leaders will get in touch with you. If you haven’t been in contact with them, please get in touch with them as soon as possible so you can plan and coordinate with the things you need to do and prepare for AYF.

<> Please make sure that you work as a team since AYF would like everybody to be friends and to have a good teamwork among its participants

     basic conversational expressions in your language

3 CULTURAL PERFORMANCE (national groups)
<> please work with other AYF participants from your
     country to prepare a cultural performance. Ideas:
    * songs, dances, drama, folktales, mock wedding ceremony...

4 PAC PRESENTATION TOPICS
<> AYF students will prepare 4 panel discussions for the
     PAC language teaching conference on the topics below
<> Please decide which of these 4 groups you'd like to join
     (prepare a first choice and a second choice)

AYF Background Study

Finally, AYF would like you to study and prepare the following general topics:

Notification of Acceptance:

1.      Successful applicants have already been notified via e-mail, post or phone last August 2008. If you have not received any notice from AYF, we are sorry to inform you that you did not make it to this year’s event. However, there will still be future AYF activities, which you can join in. Just visit our website regularly for updates.

2.      Successful applicants are required to confirm their attendance to officially register for AYF 6. Due to the volume of applicants, confirmation by participants after notification is required to guarantee their slots otherwise the slot will be given to other applicants in the waitlist.

3.      The Asian Youth Forum is aimed at young people in Asia. Due to limited funds and facilities, AYF is unable to deal with applications from youth in Africa, Europe, North and Latin America and other parts of the world.

4.      The AYF organizing committee has tried its best to publicize the event to as many networks and channels as possible in order to gather applicants who can equally represent every Asian country. However, the AYF has to follow its standards and guidelines in selecting the best candidates who will join AYF this year. The application for AYF 6 is very competitive and the committee has tried it best to select the best candidates while making sure that every country has been represented by at least one of two participants.

¨       Before coming to Japan, participants will be given an orientation about the conference schedule, things to prepare, and their duties and responsibilities as AYF delegates. An AYF Student Leader or Alumni who is based locally will get in touch with the local delegates. A team leader has also been assigned to coordinate with the AYF Student Leader or Alumni and the other participants in order to prepare for AYF 6. 

¨       All successful applicants will be registered as part of the AYF Country Section existing in their respective countries.







Below are the list of tasks you need to do and some friendly reminders:

 JAPAN VISAS AND FLIGHT RESERVATIONS
------------------------------------------------------------------

JAPAN VISA
<> AYF invitation letters and Japan visa documents
     have been sent out to all AYF students in Asia.
<> Make sure to apply to the Japanese Embassy
     early and get your visa as soon as possible
<> Please let us know once you get your Japan visa

AIRPLANE TICKETS
<> please reserve your round-trip air tickets to
     Tokyo (you should arrive and depart at the Narita Airport

     as soon as possible
<> look for cheap tickets or student discounts
     to help you save money
<> if possible, arrange to fly together with other
     students from your country as a group so you
     can help each other with any problems

ARRIVAL & DEPARTURE DATES
Remember to plan your arrival and departure as follows:

<> Arrive in Tokyo on October 28 (Tuesday)
     * try to arrive in the morning or afternoon to
       be in time for the evening welcome party

<> Depart for home on November 5 (Wednesday)
     * departure anytime during the day

<> let us know your arrival and departure
     information (dates, times, airline, flight
     numbers...) as soon as these are decided

<> also let us know if you plan to arrive earlier or
     stay later than these dates. In principle, you
     will have to cover any costs for your pre- or
     post AYF stay in Japan by yourself

Please remember, get in touch with the other participants in your country soon. You may also get in touch with your team leader and the AYF student leader or alumni in-charge of your team so they can orient you about AYF. Their contact details are attached on the file in this email.
